Things we know:
- Documentation is a drag (documenting Alteryx Workflows included).
- Documentation is difficult to keep up-to-date.
Solutions we’ll discuss in this article/video:
- Alteryx’s latest AiDIN generative AI solution for building a “Workflow Summary.”
- Capitalize’s robust auto-documentation abilities in Workflow Admin Manager (WAM).
Goal: Give you options when the daunting task of documenting Alteryx Workflows becomes a requirement at your organization.
So you just finished a project…
You just finished a massive project in Alteryx, and it was a huge success! Your coworkers are congratulating you; the boss gives you a high five! But now it’s time for the project handoff documentation. The only caveat is this incredible Alteryx workflow required more than 100 tools and even more subtle configurations, each needing to be cataloged and accounted for. Resigned, you sit down and begin to write the documentation knowing that this could take multiple hours.
To magnify this effect, in many cases companies can find themselves needing to document dozens of workflows – each workflow being incredibly powerful and equally confusing to people trying to understand it without any background. In this case, someone on the team will be faced with the daunting task of finding each of the workflows scattered throughout the various departments of your organization and going through each of them one by one. This process is not only time consuming, but it’s also probably the last thing anyone wants to spend their day doing.
Thankfully, we’re in 2023! We might not have flying cars, but with Alteryx AiDIN and Capitalize’s Workflow Admin Manager (WAM), you can take the process of documenting from hours down to minutes. This might sound too good to be true, but take a look below, and see for yourself.
Enter Alteryx AiDIN
As an industry leader, it’s no surprise that Alteryx is using one of the most innovative technologies of the past decade, generative AI. Alteryx AiDIN combines the power analytics of Alteryx with the insights of generative AI that enable you to do more with your data, faster than ever before.
AiDIN expands the current capabilities of Alteryx Designer to include the Workflow Summary tool. This tool can be used on a single workflow or pointed at a whole directory full of workflows. It uses a connection to OpenAI’s ChatGPT model to provide you with a concise summary of the entire workflow in just a few clicks.
This is a great tool to use if you are looking to understand what the workflow is accomplishing or if you want a big picture view of it. However, if you’re looking for documentation of each tool used and its specific configuration, then keep reading.
Workflow Admin Manager
Eventually, your processes will need to be reviewed and audited for accuracy. For this, you will need to be able to share what is happening at every single step taken in your Alteryx workflow. This is very difficult to do without opening the workflow and going tool by tool through the entire process. Here’s where Workflow Admin Manager (WAM) comes into play. WAM is a management tool built by Capitalize that enables you to point it at a workflow, click “Run,” and receive an entire written report of every step and configuration taken in the workflow. On top of that, it will even give you recommendations on how to make the workflow more efficient!
Now imagine the big project again. You just finished a super complex workflow, the office is cheering you on, and now you’re facing the documentation write-up. Instead of dreading the slog through hours and hours of details, you run the Workflow Summary tool in Alteryx AiDIN to get an overview of what the workflow does. Next, you pass the workflow through WAM and get detailed documentation over the entirety of all the changes.
No more spending hours on the nitty gritty details. No more time muddling through someone else’s work. Spend your time on what’s more important and leave the documentation to the program.
